THE LATEST THOUGHTS FROM THE FOUNDER

A SNEAK PEEK…
“Either way, the goal isn’t to spend more, it’s to create fewer surprises and smoother days for you and your team.”
This usually comes up after a business has been through a few painful surprises. Maybe it was a server crash, or ransomware scare, or just a string of little issues that kept interrupting the day. At some point, you start asking a very reasonable question is there a better way to handle this, or is this just how IT works?
That’s where the decision between break-fix and managed services really begins. And I’ll tell you, it’s a fair question. Because on the surface, break-fix can feel simpler. You only pay when something breaks. There’s no ongoing commitment, it feels like you’re in control of costs. But the frustration usually comes from the unpredictability. One quiet month followed by a big, unexpected expense. Or worse, downtime right in the middle of a busy day.
So how do you actually decide which direction makes sense for your business? It really comes down to how your business runs day to day. If you think about your team’s work, how dependent are you on your systems? Are people using computers occasionally throughout the day, or are they the backbone of everything you do?
For some businesses, computers are more like tools you use part of the time. If one goes down, it’s inconvenient, but the work can still continue in other ways. In that situation, break-fix can still be a reasonable approach. You accept that issues will happen, and you deal with them when they do.
But for a lot of businesses today, especially ones like yours that rely on client data, communication, and systems running smoothly, technology isn’t just a tool. It is the business, when that’s the case, the question shifts.
It’s no longer, how do I fix problems when they happen, it becomes how do I avoid problems from happening in the first place? That’s really what managed services is built around.
Instead of waiting for something to break, someone is keeping an eye on things all the time. They are checking for early warning signs. Making sure systems stay updated, watching for security issues before they turn into something serious.
And here’s something that doesn’t get talked about enough. It’s not just about preventing problems, it’s also about being prepared when something does go wrong. Because no environment is perfect, issues will still happen. The difference is how quickly and smoothly you can respond.
With a proactive approach, there’s a history of what your systems looked like before the issue. That makes diagnosis faster and reduces the guesswork, less downtime, less disruption, fewer surprises.
Managed services is not always necessary for every business. If your operations can tolerate occasional downtime without major impact, and if your environment is simple, you may not need a fully managed solution. There is nothing wrong with staying on break-fix if it truly fits your situation.
But where most business owners start to lean the other way is when they realize the real cost of downtime is not just the repair bill. It’s lost productivity, missed opportunities, frustrated employees, and sometimes strained client relationships.
That’s the part that sneaks up on people. So a helpful way to look at this is not just what do I spend on IT today but what happens to my business when things stop working? If the answer is “we can manage,” break-fix may still be fine.
If the answer is everything slows down or comes to a halt, then it’s worth thinking about a more proactive model. At the end of the day, this isn’t really about technology, it’s about how much risk and interruption you’re comfortable with in your business.
A simple way to pressure test it is this, think about your last two or three computer issues. Were they minor inconveniences, or did they disrupt your day more than you expected?
If you’re seeing a pattern of interruptions, even small ones, that’s usually a sign it’s time to take a more proactive approach. If not, then you may already be in a good place. Either way, the goal isn’t to spend more, it’s to create fewer surprises and smoother days for you and your team. It might be worth asking yourself, are we okay reacting to problems, or would we rather spend our time avoiding them?
That’s how I see it, anyway, and I’d enjoy hearing how you see it. None of this is a sales pitch. It’s just the kind of thing I’d talk through with you if we were sitting across the table. If it raised a question, or you think I have it wrong, I want to hear about it.
My door is always open. Whether you want to talk this through or just say hello, you can reach me anytime.
