THE LATEST THOUGHTS FROM THE FOUNDER

A SNEAK PEEK…
“The key is not just looking at what you pay for IT. It is understanding what it costs your business when things are slow, unreliable, or suddenly unavailable.”
That question usually comes from a very real place. Everything has been running fine, and then an invoice shows up for ongoing IT support, and you start wondering if you are paying for something you are not even using. It is a fair question.
I have had plenty of business owners tell me, we only call IT when we need it, and that seems to work just fine. And honestly, in the short term, it often does feel like the less expensive option. I understand the thinking. If nothing is broken, why pay for someone to look at it?
Here is the part that is not always obvious. Pay as you go IT, sometimes called break fix, is reactive. It waits for something to go wrong before anything gets attention. Managed services, on the other hand, are built around preventing those problems from happening in the first place.
To keep it simple, think about it like owning a vehicle. If you only take it to the mechanic when it breaks down, your upfront costs look low for a while. But over time, small issues that could have been caught early turn into bigger, more expensive problems or you are broke down on the side of the road. Suddenly you are dealing with major repairs instead of simple maintenance.
Technology works in a very similar way. Servers start showing small warning signs, computers slow down, software needs updates, backups need to be checked, security tools need to stay current. When no one is watching those things regularly, they tend to pile up quietly in the background. Eventually, something gives.
When that happens, the cost is not just the repair bill, it is your team sitting idle, it is the missed deadlines, it is the staff frustration. In some cases, it can even be lost data or unhappy clients. Those are the costs that are easy to overlook because they do not show up as a line item on an invoice.
Let’s take a simple example. Imagine an accounting firm with around 30 employees. Most of their work depends on access to data, software, and client information. If their systems slow down or go offline, even for a few hours, that is 30 people who are no longer working at full speed. That lost productivity adds up quickly, whether anyone tracks it or not.
Managed services usually come with a steady monthly cost. At first glance, that can feel more expensive. But what you are really paying for is consistency, systems are monitored, issues are addressed early, updates are planned, equipment replacements are discussed ahead of time instead of becoming emergencies. Instead of reacting to problems, you are staying ahead of them.
Now, to be fair, managed services are not necessary for every business in every situation. If you are a very small operation with minimal technology and you can tolerate occasional downtime without much impact, pay as you go might still make sense for you. There is no need to overcomplicate things if your risk is low.
But for most growing businesses, especially those that rely on systems every day, the math changes over time. Over a few years, the cost of downtime, inefficiencies, and unexpected repairs often outweighs what would have been spent on proactive support. The key is not just looking at what you pay for IT. It is understanding what it costs your business when things are slow, unreliable, or suddenly unavailable.
So a good question to ask yourself is this. If my systems had problems tomorrow, how much would that disrupt my team and my clients? If the answer is we would feel that pretty quickly, then it may be worth stepping back and looking at whether a more proactive approach would actually save you money and stress over time.
You do not have to make a big change overnight. But taking the time to evaluate how your technology is supported today can give you a much clearer picture of where your real costs are hiding.
That’s how I see it, anyway, and I’d enjoy hearing how you see it. None of this is a sales pitch. It’s just the kind of thing I’d talk through with you if we were sitting across the table. If it raised a question, or you think I have it wrong, I want to hear about it.
My door is always open. Whether you want to talk this through or just say hello, you can reach me anytime.
