You’d be surprised how often this comes up.
A business gets started, things are moving fast, and someone says, “Let’s grab a website and get email set up.” So a domain name gets purchased, maybe it’s something like yourcompany.com. It feels like a small step at the time, just one item on a long list.
Fast forward a couple of years. The business has grown, the team has changed, and then one day something stops working. The website goes down, emails stop flowing. Or you get a notice that the domain expired… but no one knows where it’s registered or who has access.
And suddenly that “small step” becomes a very big problem. I’ve seen the frustration firsthand. You’re trying to run your business, serve clients, keep things moving and now you’re stuck chasing down old logins, old employees, and old email addresses that no longer exist. It’s not just inconvenient, it can disrupt how your business shows up to the world.
Here’s the reality in simple terms, your domain name is more than just your website address, it’s your identity online. It ties into your email, your website, and how customers find and trust you. The company you bought it from, a registrar like GoDaddy or Network Solutions, controls access based on one thing, the account and email it was registered under. If you lose access to that account, you don’t automatically get it back just because you own the business.
Sometimes you can work with the registrar and prove who you are. Sometimes that process is smooth. Other times, it’s slow, complicated, or not successful at all. In the worst cases, businesses lose their domain altogether. That’s why a little planning upfront makes all the difference.
The smartest way to handle this is to make sure your domain is never tied to one individual person. Not a receptionist, not a marketing person, not even a trusted employee who’s been with you for years.
Instead, set it up under a shared, business-owned email address. Something simple like domain@yourcompany.com or web@yourcompany.com. Then make sure the business owner or leadership team can always access it and the password is stored securely in a place the business controls. And important notifications, like billing or expiration notices, are forwarded to someone who will actually see them. That way, if someone leaves the company or roles change, nothing is lost. You still have control.
Think about how this applies to your business today. If your website suddenly went offline or your emails stopped working, would you know exactly where to log in to fix it? Would you have the username, password, and access to the recovery email?
If the answer is “I’m not sure,” you’re not alone. But it’s worth taking a few minutes to fix now before it becomes urgent later. Not every business needs to overcomplicate this. You don’t need a massive system. You just need to make sure the access belongs to the business, not to a person.
A simple way to look at it is this: if the person who set up your domain is no longer with you, can you still confidently control it? If you’re unsure, take a little time this week to check. It’s one of those small housekeeping items that rarely feels urgent, until the day it is.
