Mastering the 3-2-1 Data Backup Rule

For small and medium-sized businesses, a data backup plan might seem difficult or even impossible to implement without the right in-house IT expertise. That’s no excuse to neglect data backup, though. Today, we want to share the 3-2-1 backup rule, which is an ideal standard to aim for.

Copies of Your Data (3)

First, you need to understand that you should have at least three distinct copies of your data. They should include the following:

  • Primary operational data - This is your active data that you keep on-site for immediate restoration should the need arise. It’s usually stored on a network-attached storage device.
  • Secondary backup - This is a separate backup on a different medium, ideally stored off-site. This should be your preferred fail-safe copy should the primary become unavailable, corrupted, or compromised.
  • Tertiary backup - This is the ultimate fail-safe that provides an additional layer of protection, ensuring an alternative recovery path even if both your primary and secondary backups have failed.

By adhering to this multi-copy approach, you reduce the risk of a single incident wiping out all your critical business information. It's a simple, yet powerful, defensive strategy.

Different Storage Mediums (2)

Data backup and business continuity is all about having options.

We recommend that you have at least two different types of storage media for your backups, as relying on one single type leaves your business vulnerable. A diverse combination of media might look like on-site physical storage, like external drives or NAS devices, in combination with cloud storage or other types of off-site, external storage.

With this multimedia approach, you’ll be less likely to experience a problematic data loss situation, and the odds of a successful restoration will dramatically increase as well.

Copies of Off-Site Backups (At least 1)

The key to true resilience is, of course, the off-site backup.

Local backup offers convenient and quick restoration, but it’s vulnerable to local site-specific disasters, like a fire, a flood, or a power surge. An off-site backup that is geographically isolated from your main operation is your ultimate safety net. You can deploy a backup from the cloud easily and efficiently should the need arise, and it all but guarantees that your backup is protected from threats that might hit your main office.
